5 Mistakes I Made Specifying HVAC & Refrigeration for Small Businesses (And the Checklist I Use Now)

Step 1: Match the BTU Rating to the Actual Space — Not the Brochure

The mistake: In June 2020, I ordered two Midea mini split 24000 BTU units for a 1,200 sq.ft. restaurant kitchen. The brochure said 24,000 BTU cools up to 1,500 sq.ft. I didn't account for the heat from stoves, fryers, and a walk-in cooler door that opened every 3 minutes. The units ran constantly, never hit setpoint, and we had to add a third unit. That cost the client an extra $2,800 plus two weeks of discomfort.

What to do instead:

  • Measure the room's volume (sq.ft. × ceiling height).
  • Add 30% for commercial kitchens, server rooms, or spaces with direct sun exposure.
  • For mini splits, look for units with inverter technology (like Midea's full DC inverter line) that can modulate capacity—they handle partial loads better.
  • If the space has high humidity, consider pairing the mini split with a dedicated dehumidifier (more on that in Step 3).

Step 2: Don't Assume "Portable" Means "Plug-and-Play"

But I didn't account for the ambient temperature inside the booth (which was often 90°F+). The dryer couldn't keep up, moisture got into the lines, and the paint job failed on a $3,200 order. What to do instead:

  • Refrigerated air dryers are designed to remove moisture from compressed air. They're not substitutes for dehumidifiers—they handle air at line pressure, not room air.
  • For a paint booth or any space where humidity control matters in the room, you need a stand-alone dehumidifier (like Midea's commercial-grade units).
  • Check the specs: a refrigerated air dryer's performance depends on inlet temperature and compressed air flow. Most models include a correction factor table—use it.

Step 4: Freezer Burn Isn't a Defect — It's a Storage Mistake

The mistake: I once ordered a Midea chest freezer for a small restaurant. Two months later, the owner complained about freezer burn on his meat. He blamed the freezer. After a visit, I found the problem: he was storing uncovered food near the air vent, and the temperature was cycling between -5°F and +5°F because the door was opened 20+ times a day. What to do instead:

  • Monitor temperature with a data logger. The USDA recommends 0°F for frozen food; fluctuations above 0°F accelerate freezer burn.
  • If you're buying a freezer for a busy kitchen, consider a model with a solid lid (reduces temperature fluctuations compared to glass top).

Step 5: Space Heaters Are Cheap — But Wrong Sizing Costs More

The mistake: In December 2022, I helped a startup warehouse choose space heaters for a 2,000 sq.ft. area. I looked at the wattage (1,500W per unit) and thought "that's standard." But the space had 16-foot ceilings and no insulation. Three heaters couldn't keep the space above 50°F. We ended up buying a fourth heater and installing radiant barriers. The total cost was $1,600 more than if I'd specified a heat pump or properly sized electric heaters from the start.

What to do instead:

  • For space heating, use the formula: watts needed = (square footage × ceiling height × desired temperature rise) ÷ 10 + insulation factor.

One Last Thing: Small Orders Deserve the Same Attention

I still buy from them today, now on $20,000 projects. Don't let anyone tell you your small business equipment needs aren't worth their time. Find a supplier who asks the right questions—like the ones in this checklist.
