I'm a packaging line procurement manager handling confectionery and snack equipment orders for 8 years. 5. What hidden costs come with buying from a China pillow packing machine manufacturer?

The quote is usually 60–70% of what you'll actually spend in year one. The rest:

  • Sea freight and customs — add 4–8% for a 20ft container to the US West Coast (based on quotes I received in March 2025; verify current rates).
  • CE documentation if you're selling into the EU — per Directive 2006/42/EC, some manufacturers charge extra for the technical file.
  • Electrical conversion. Many machines ship 380V/50Hz, which doesn't match US 480V/60Hz without a transformer or motor swap.
  • Spare parts. At minimum, buy one extra forming set and one sealing jaw. Lead time from China is 4–6 weeks.

I now quote my own budgets at 1.45× the machine price for landed-and-running cost. That ratio has held reliable across 6 orders.

6. What's one question nobody asks, but should?

"Who fixes this machine at 2am on a Sunday?"

Every sales rep has a WhatsApp number. Almost none of them have a technician in your time zone. Before signing, get in writing: what's the SLA for remote troubleshooting, and what's the hourly cost for an on-site technician visit? Some manufacturers include 12 months of remote support. Others bill $150/hour.

The one time I skipped this, the machine jammed on a Sunday during a promotional run. 14 hours of downtime. Roughly $4,800 in delayed shipments. I now add this question to every RFQ.

7. How do I verify a manufacturer isn't exaggerating speed?

Ask for a third-party witness test. If they refuse, walk away. A reputable manufacturer will let you send an engineer — or hire a local inspector through SGS or TÜV for $400–800 — to witness the FAT (Factory Acceptance Test).

The printed spec ("up to 400 packs/min") is essentially meaningless. Real throughput on a candy packaging machine with film splices, reject cycles, and changeovers runs 15–25% below the number on the sheet.

8. Cookie packaging machine — what spec do most buyers get wrong?

Film tension tolerance. Cookie dust is abrasive. Machines that run fine on clean film fail on lower-grade or recycled films within weeks. Ask for the film tension range the machine holds stable. ±5% is common; ±2% is what you actually want.

And one more: buy your film from the machine vendor for the first six months. Off-brand film is where about 70% of "the machine is broken" complaints actually originate (annoying, but true).

That's the checklist I run before every order now. It won't turn a bad machine into a good one — but it will filter out the sellers who are only quoting you a spec sheet and hoping you don't ask better questions.
