Common mistakes to avoid
If you're the person who gets asked to just order a better sealer or find a cheaper shrink wrap machine supplier, this checklist is for you. I'm an office administrator for a 240-person company. I manage all packaging and facilities ordering—roughly $180,000 annually across 12 vendors. I report to both operations and finance.
This is the 7-step checklist I use before I place a purchase order for strapping tools, shrink wrap machine suppliers, food bag sealers, automatic carton strapping machines, pouch heat sealers, or a shrink machine for packing. It's built for buyers who don't have an engineering degree but still have to get it right.
Step 1: Map the actual workflow before you look at machines
Most buyers start with machine features. I did too. That's backwards. Start with what you're packing, how much, and where.
- What's the product? Boxes, bags, pouches, cartons, trays?
- What are the dimensions and weights? Smallest and largest.
- How many units per shift, per day, per peak week?
- Who will operate it? One person? A team? Different shifts?
- What floor space, power, and ventilation do you actually have?
For example, a food bag sealer for low-volume bakery bags is a different machine from a pouch heat sealer running laminated pouches at 40 cycles per minute. An automatic carton strapping machine might be overkill if you only strap 20 cartons a day. And a shrink machine for packing needs to match your film and tunnel size, not just your box size.
Speed, uptime, support. Pick two. If a supplier promises all three at the lowest price, ask what's missing.
Step 2: Match specs to your real materials and environment
This is where most returns happen. The machine looks right online, but it doesn't fit your bags, film, straps, or electrical setup.
For food bag sealers and pouch heat sealers, check seal width, temperature range, dwell time, and material compatibility. PE, PP, laminated pouches, and coated paper all behave differently. A sealer that works on one may burn or leak on another.
For strapping tools and automatic carton strapping machines, check strap width, strap tension, arch size, and speed. Also check whether the machine uses polypropylene, polyester, or steel strapping. They're not interchangeable.
For a shrink machine for packing, check tunnel opening, conveyor speed, film type, and ventilation. From the outside, a shrink wrap machine is just a heated tunnel and conveyor. The reality is that film shrink curve, airflow, and belt speed decide whether it works on your floor.
Ask for the electrical requirements in writing: voltage, phase, amps, plug type, and whether it needs compressed air. A machine that needs 480V three-phase won't work in a small warehouse with 208V single-phase.
Step 3: Vet shrink wrap machine suppliers and other vendors
Product pages all look the same. Supplier behavior is what separates a good purchase from a headache.
I check:
- Business address and whether they have a service tech in my region.
- Response time. I email a question and see how long it takes to get a real answer, not a brochure.
- Spare parts stock. Ask for the lead time on the most common wear parts.
- Installation and training. Is it included? Who does it? When?
- References. Ask for two customers in a similar industry, not generic testimonials.
Also ask for compliance documents. For food-contact equipment, FDA 21 CFR Part 177 is the baseline for materials intended to contact food. For packaging machinery safety, ANSI/PMMI B155.1 is the standard I ask about. Electrical components should be UL or ETL listed for the US market. Verify the current version and requirements at the official source, because standards update.
In my first year managing packaging purchases, I made the classic spec error: assumed standard meant the same seal width and voltage with every vendor. Cost me $600 in return shipping and a delayed launch. Now I get every spec in writing.
Step 4: Ask for a total-cost quote—what's NOT included
I've learned to ask what's NOT included before what's the price. The sticker price is rarely the final number.
Make the supplier quote these line items:
- Base machine or tool
- Freight, liftgate, and inside delivery
- Installation and training
- Spare parts kit and recommended consumables
- Warranty length and what it actually covers
- Service call rates and response windows
- Consumables: film, bags, straps, pouches
- Taxes, duties, and customs if importing
The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end. A low quote with hidden installation or proprietary consumables is not a low quote. It's a deferred invoice.
If a supplier won't put all fees in writing, that's not a negotiation tactic. That's a warning sign.
Step 5: Test with your actual materials—not their samples
This is the step most buyers skip. Don't.
Send the supplier your actual film, bags, pouches, cartons, and straps. Ask them to run a sample test and send back photos or video.
For a food bag sealer or pouch heat sealer, check seal strength, leak resistance, and appearance. For an automatic carton strapping machine, check strap joint strength and jam rate. For a shrink machine for packing, check shrink appearance, seam strength, and whether the film pulls or tears.
Never expected the smaller supplier to outperform the national one. Turns out their process was more refined for our low-volume, high-mix orders. They tested with our materials, documented the settings, and sent a checklist for our operators. The bigger supplier sent a catalog.
Step 6: Confirm safety, compliance, and site readiness
Before you sign, walk through the installation site with the supplier's checklist.
- Emergency stops, guards, and interlocks are working and accessible.
- Lockout/tagout procedures are clear if maintenance requires them. OSHA 1910.147 is the US reference.
- Electrical circuit can handle the load. No daisy-chained extension cords.
- Ventilation is adequate for shrink tunnels and heat sealers.
- Food areas have appropriate cleaning and washdown plans.
- Operators have PPE and training before the machine runs production.
Ask who is responsible for commissioning. If the answer is you, get the manual and a phone number for support before delivery day.
Step 7: Lock terms, payment, and after-sale support before you sign
A quote is not a contract. Get these in writing:
- Delivery date and installation window
- Payment terms and whether a deposit is refundable
- Warranty length, coverage, and exclusions
- Spare parts lead time and pricing
- Training hours and format
- Return policy, restocking fees, and who pays return freight
- Service response time and escalation contact
Then set a 30-day post-install check. Run the machine for a full production cycle. Document any issues in writing. A small problem caught in week one is a warranty claim. The same problem in month six is your budget.
Common mistakes to avoid
Don't buy on sticker price alone. The cheapest strapping tools or food bag sealer often cost more after freight, installation, and downtime.
Don't assume automatic means unattended. An automatic carton strapping machine still needs strap loading, jam clearing, and maintenance.
Don't skip the sample test. Your materials are the only test that matters.
Don't ignore consumables. Proprietary film, bags, or straps can lock you into one supplier.
Don't accept handwritten invoices or vague tax documents. The vendor who couldn't provide proper invoicing cost us $2,400 in rejected expenses. Now I verify invoicing capability before I place any order.
Don't wait until the old machine dies. As of January 2025, many standard packaging machines ship in 4-8 weeks, and custom configurations can take longer. Verify current lead times with each shrink wrap machine supplier before you commit to a launch date.
Run the checklist in order. If a supplier pushes back on any step, that's your answer.
