Midea Inverter Window AC, 7000 BTU PTAC, Small Chest Freezer, and Propane Heater: A Cost Controller's Checklist

If you're the person who signs purchase orders for a small business or commercial building, this checklist is for you. I'm a procurement manager at a 40-person HVAC and refrigeration service company. What This Checklist Is For

Use this list when you're comparing quotes and need to avoid hidden costs. The goal is not the cheapest line item; it's the lowest total cost of ownership over a few years. This is the same process I use for small to mid-size orders in the U.S. domestic market. If you're buying a whole HVAC system or importing equipment from overseas, this checklist is just a starting point, not the full answer.

Step 1: Size the Cooling Load Before Choosing the AC Type

Don't start with price per BTU. Start with the room. A Midea inverter window AC works well for a dedicated office, break room, or small retail space. A 7,000 BTU PTAC unit is a different animal: it sits in a through-wall sleeve and is common in motel rooms, converted offices, and small apartments. Both can be great, but they solve different installation problems.

Square footage alone is not enough. A 250-square-foot windowless server room might need less cooling than a 250-square-foot break room with a big window, people, and a coffee machine. In my first year, I made the classic rookie mistake: I bought a fixed-speed window unit for a kitchen and saved about $80 up front. It ran almost nonstop for two summers. The energy cost ate the savings in 11 months. The real price was the mistake.

So do a quick load calc. For average commercial conditions, 20 BTU per square foot is a reasonable rule of thumb. A Midea 7000 BTU PTAC unit covers roughly 300 square feet in a normal room. If the space has high sun exposure, high ceilings, or equipment heat, bump up a size.

Step 2: Match the Unit to the Physical Opening and Electrical Supply

This is where 'it looked fine on paper' goes wrong. A Midea inverter window AC comes in different BTU sizes, but the casing is what matters. Check the window width, height, and whether your window is double-hung or slider. I once assumed a window unit would fit a sliding window because the BTU matched the room. Didn't verify. We ended up cutting plywood fillers and taking a second trip. Not expensive, but it made me look careless.

For a Midea 7000 BTU PTAC unit, the wall sleeve is the boss. Most PTACs use a standard sleeve around 42 inches wide and 16 inches high. The voltage matters too. A 230V unit won't run on a 115V circuit, and a heat pump PTAC will draw more than a cooling-only model. Check the nameplate and the available breaker. 'Standard' means nothing. Ask for the model-specific spec sheet and the ETL/UL listing.

Step 3: Calculate the Small Chest Freezer Total Cost, Not Just the Sticker

A small chest freezer is almost a commodity. That's exactly why you need to calculate the total cost. The cheapest 5.0 cubic foot model might be $200, but a manual-defrost unit can be cheaper to run than a frost-free model. The Energy Guide label (which the FTC requires on most freezers) shows estimated kWh per year. Multiply that by your electric rate—say $0.12 to $0.20 for commercial—and you get the second-year cost of the freezer.

Three things people forget:

  • Rated capacity is not usable capacity. A 5.0 cu ft chest freezer only holds about 4 cu ft if you need airflow for the cooling coil.
  • The freezer needs clearance around the compressor side. Cramming it into a corner can cause overheating and early failure.
  • If staff use glass jars for storage, you need a rule. Here's the rule I now put in my ordering notes.

Can You Put Glass in the Freezer?

Short answer: yes, some glass. Freezer-safe glass—like tempered mason jars labeled 'freezer safe'—can go in a chest freezer as long as the contents are cool and you leave headspace for expansion. Ordinary glass can crack when liquid expands as it freezes, or when the glass goes through a sudden temperature change. So no hot glass in the freezer. Never. Let it cool, then refrigerate it before it goes in.

But for a business, I'd skip glass altogether for freezer storage. Plastic deli containers or heavy-duty freezer bags are cheaper to replace than broken glass and spoiled product. In a commercial kitchen, broken glass in a freezer is a food-safety issue. I won't recommend putting glass containers in a busy commercial freezer; it's not the same as a home kitchen.

Step 4: Plan for Heat, Even If You're Buying 'Cooling'

If you're buying an AC, you still need a heat strategy. Some Midea inverter window AC models are heat pumps. Many PTAC units offer heat strip or heat pump options. In a mild climate, a heat pump window unit may handle 75% of your heating hours. In a cold climate, it will use more energy than it's worth. Run the numbers for your location.

That's where a propane heater comes in. For temporary situations—construction trailer, warehouse dock, emergency backup during a furnace failure—a propane heater is a legitimate tool. It is not a long-term primary heat source for a permanent commercial space. Propane creates carbon monoxide and requires ventilation. I check NFPA 58 for cylinder storage and local code before placing a 20-pound cylinder in a building. Not optional.

I went back and forth between a heat pump PTAC and electric strip heat for a project last year. The heat pump looked better on paper, but the existing electrical panel couldn't handle the extra draw. The strip heat needed less amperage. It was less efficient, but the installation cost was lower and the system actually worked. That's the total-cost view.

Step 5: Compare Vendors on Total Cost, Not Invoice Total

A lower quote isn't a lower cost until you add delivery, liftgate, removal, and restocking fees. I compared nine vendors over three months in 2024 for a PTAC project. One vendor quoted a Midea 7000 BTU PTAC unit at $60 below everyone else. Then their invoice appeared with 'freight: $95, liftgate: $45.' The next vendor's total was exactly the same—they just put the delivery cost in the line item. Same unit. Same warranty. $60 illusion.

Here's what to put in your comparison spreadsheet:

  • Unit price, not quote total
  • Delivery and liftgate charges
  • Removal of the old unit
  • Accessories: thermostat, cord, drain kit, brackets
  • Restocking fee if you order the wrong model
  • Warranty service: is it local or mail-in?

I built a cost calculator after getting burned on hidden fees twice. It's an ugly spreadsheet, but it has saved me thousands. That's not an exaggeration—in Q2 2024, it caught a voltage mismatch on a 12-unit PTAC order before we clicked buy. The restocking fee alone would have been about $1,200.

Step 6: Confirm the Specs, the Warranty, and the 'Standard' Details

For any Midea product, ask for the spec sheet and the warranty terms. A 1-year parts-only warranty is different from a 5-year compressor warranty with labor coverage. The cheapest PTAC can become the most expensive one when the compressor fails in month 14 and you don't have a local service rep.

Don't assume 'same specifications' means identical results across vendors. I've ordered 'standard' units from two distributors and received one with a 6-foot line cord and one with no cord. 'Standard' was the problem. I've only worked with Midea's U.S. distribution channels. If you're sourcing through a gray-market importer, your checklist gets longer, not shorter.

Before You Sign: Common Mistakes

These are the ones I see repeated in reports and in my own old purchase orders:

  • Ignoring voltage. A 230V PTAC won't run on a 115V circuit.
  • Buying a window AC for a wall opening.
  • Skipping the Energy Guide label on a small chest freezer.
  • Putting hot glass in a chest freezer and expecting it to survive.
  • Using an unvented propane heater in a closed room.
  • Choosing the lowest quote instead of the lowest total cost.

That said, this list won't tell you if your building needs a full split system. If your space has multiple rooms, ductwork, or unusual heat loads, hire an engineer for a load calc. It costs less than the equipment redo. I recommend Midea for specific situations—inverter window ACs, PTACs, and small freezers—but I won't tell you one product type fits every building. No product does.

Use a checklist. It's boring. It works. It keeps me from making expensive, embarrassing mistakes. And if a vendor starts talking about 'standard' terms, ask them exactly what that includes. It'll save you the same way it saved me.
